How to choose an SAP AMS provider
Evaluation checklist
Most SAP AMS selections are decided on rate cards and service-level tables, and most AMS disappointments have nothing to do with either. The questions below are the ones that predict how the service will feel in month nine. Use them on every shortlisted provider.
1. Who is actually accountable on the account
Ask for the names and the module history of the people who will answer your tickets, not the organisation chart of the delivery centre. Ask how many other accounts they carry. Ask what happens when one of them leaves.
A support model where nobody owns the work is a support model where nobody is accountable. The best predictor of a calm year is that the same practitioners stay long enough to remember why your configuration looks the way it does.
2. How releases are handled
SAP ships SuccessFactors releases twice a year. Ask how the provider assesses impact against your configuration, how regression is tested, how optional features get recommended, and what the week after a release looks like.
A provider who treats the release as a scheduled project rather than an interruption is a provider whose model actually works.
3. What the AI does, and what it is forbidden from doing
Ask which tasks use AI and where the human review sits on each one. Ask whether client data is used to train models, where the data is processed, and what is retained. Ask who is accountable when an AI-drafted change is wrong.
Any of these answered vaguely should lower the score. AI in support is genuinely useful, and it is also the easiest thing in the market to overstate.
4. Transition and exit
Most of the risk in changing AMS provider is in undocumented knowledge. Ask for a transition that overlaps the outgoing provider rather than a cutover date, and ask what documentation you own at the end of the contract.
A provider comfortable describing how you would leave is a provider who expects you to stay for the right reasons.
5. How the price is structured
Compare on the structure, not the hourly rate: what is included, what triggers a change request, how improvement work is funded, and whether anyone is rewarded for reducing ticket volume.
A low rate attached to a model that grows with your ticket count is more expensive than a senior rate attached to a model that shrinks it.
Frequently asked questions
What should an SAP AMS contract include as a minimum?
Clear accountability, incident and service-request handling with agreed response and resolution expectations, release impact assessment and regression testing, documentation kept current, a funded improvement stream, and clear transition and exit terms. Anything less is a ticket queue.
Should we choose a specialist or a global integrator for AMS?
It depends on how much of your landscape is in scope and how much continuity matters. A global integrator gives you breadth and procurement comfort. A specialist gives you the same senior people for years. Many organisations run a specialist on the HR and payroll core inside a broader integrator relationship.
How long should an AMS transition take?
Long enough to overlap the outgoing provider through at least one period-end and ideally one release. The date matters far less than whether the incoming team has genuinely absorbed the undocumented knowledge.
Is offshore AMS cheaper in practice?
On a rate card, usually yes. In total cost it depends on how many senior hours your business consumes per stable month, how much rework a release cycle produces, and whether your team ends up doing triage themselves. Compare the models on that basis, not on the rate.
