SAP SuccessFactors role-based permissions that HR and IT can both read
SuccessFactors security: role-based permissions
Role-based permissions decide who can see and change every record in SuccessFactors. When they drift, managers see data they should not, admin rights pile up that nobody approved, and audit questions take weeks to answer. EC Experts designs, reviews and cleans up RBP, documents it in a workbook HR and IT can both read, and changes it only with an approver on record.
Where RBP usually goes wrong
Permission roles get copied instead of designed, so small differences multiply until nobody can say why two roles exist.
Target populations are built on fields that change, such as department or location, so access moves when people move and nobody notices.
Admin rights granted during implementation are never taken back after go-live, and the design spreadsheet stops matching the system.
How we design and review it
We start from your role design: who needs to see what, for which population, and who approves it. Permission roles and groups are built from that design rather than copied from another tenant.
Every role is documented in a permissions workbook: what it grants, which groups it applies to, and the business owner who approved it. HR reads it as a list of who can see what; IT reads it as the configuration.
For a live system, we compare what is configured today with what the business believes it granted, and give you a prioritized list of fixes before anything changes.
The platform behind it
The EC Experts Platform generates permission workbooks blank or prefilled from your live system, compares them with what is configured, and applies the agreed changes to SuccessFactors through a change plan.
Nothing is applied without a second approver, a snapshot before the change and a read-back after it, and every apply is recorded in the audit trail.
Permission changes after go-live
Under our managed services, every permission change is a ticket with a reason, an approver, a window and a way back, so "who gave this access, and when" always has an answer.
Frequently asked questions
What are role-based permissions (RBP) in SAP SuccessFactors?
RBP is the SuccessFactors security model. Permission roles define what a user can see and do; permission groups define who receives those rights and for which target population. Together they decide access to every employee record.
Can you review our existing RBP setup without changing anything?
Yes. A review compares what is configured today with what your business believes it granted, and ends with a prioritized list of fixes. Nothing changes in your system unless you approve it.
Is your permissions tooling available today?
Yes. It is part of the EC Experts Platform, with a demo available. Our consultants use it inside our services, or you can license it for your own team.
Who approves permission changes?
The business owner recorded in the workbook approves each role, and every change after go-live is recorded with its reason, approver and date.
