SuccessFactors Recruiting (RCM) → SmartRecruiters Migration
Migration: SuccessFactors Recruiting (RCM) → SmartRecruiters
Migrating from SuccessFactors Recruiting (RCM) to SmartRecruiters is not a like-for-like upgrade, it is a re-architecture of how requisitions, candidates, integrations and AI governance work. EC Experts runs the migration as a single program with the same senior team from readiness assessment through parallel-run cutover and steady-state.
SAP and SmartRecruiters: what changed
SAP now partners with SmartRecruiters for talent acquisition, which is why new recruiting capability increasingly appears there rather than inside RCM. That is a direction, not a deadline: check SAP directly for maintenance commitments and plan on capability rather than on rumour.
For most employers the practical question is not "is RCM ending" but "is RCM still the right place for our hiring process for the next three to five years".
The real decision
Stay on RCM where recruiting volume is modest, the process is stable and integration with Employee Central matters more than recruiter experience. Optimising what you have is usually cheaper than replacing it.
Move to SmartRecruiters where hiring volume, candidate experience or recruiter productivity are actively costing you, and where the existing recruiting process is the thing being changed, not just the tool underneath it.
What we will not do is tell you to migrate because migration is the bigger engagement. If RCM fits, we will say so and fix what is actually broken.
The migration playbook
Step 1: Readiness assessment (fixed scope): scope validation, integration inventory, data quality audit, AI governance gap analysis, business case.
Step 2: Design: target operating model, requisition and candidate model, Winston AI configuration, integration redesign across Employee Central, S/4HANA and Integration Suite.
Step 3: Migration: data extraction from RCM, transformation, candidate-data migration, integration rebuild, parallel-run with reconciliation.
Step 4: Cutover & adoption: bilingual recruiter and hiring-manager enablement, KPI instrumentation, hypercare.
What changes vs RCM
Candidate experience moves from RCM forms to SmartRecruiters' configurable candidate flows with Winston AI sourcing and screening. Recruiter productivity tooling, scheduling, and CRM-style talent-pool management replace the RCM dashboard model.
Integration model shifts: many RCM-direct integrations move to SmartRecruiters via Integration Suite, with Employee Central as the system of record.
AI governance becomes a first-class deliverable, not a documentation afterthought.
The part everyone underestimates: the SAP seam
Recruiting never stands alone. Offer and hire have to land cleanly in Onboarding and Employee Central; position and organisational data have to stay consistent in the other direction; reporting has to reconcile with headcount; and background screening, assessment and identity vendors all sit on that boundary.
Most recruiting programmes lose time at that seam rather than inside the recruiting product. We run both sides: SuccessFactors and SmartRecruiters, so the integration is designed once by one accountable team rather than negotiated between two vendors after signature.
AI in recruiting, handled honestly
Screening and matching assistance is useful and it is also a regulated decision-making process. We set a documented position up front: where AI may assist, what a recruiter must review, what is logged, and what evidence your legal, privacy and pay-equity obligations require. A human stays in the loop on hiring decisions.
Frequently asked questions
What is SAP SuccessFactors Recruiting Management (RCM)?
It is the SuccessFactors applicant tracking capability: requisitions, approvals, postings, candidate management, offers, and the handover into Onboarding and Employee Central. It is tightly coupled to core HR data, which is both its strength and its constraint.
Is SuccessFactors Recruiting (RCM) being deprecated?
SAP has not announced a deprecation of Recruiting (RCM). The two products coexist while the SuccessFactors recruiting roadmap evolves over the coming semi-annual releases. EC Experts helps SAP customers decide whether to migrate now, migrate later, or coexist, based on data, not vendor pressure.
How long does an RCM-to-SmartRecruiters migration take?
The length depends on req volume, integrations, language coverage and AI ambition. The readiness sprint produces the timeline before any commitment.
What about historical candidate data in RCM?
EC Experts performs a data-quality audit during the readiness sprint, then migrates active and recent-historical candidates with full lineage. Long-tail historical data is typically retained in RCM read-only or archived per retention policy and Quebec Law 25 / GDPR / PDPL rules.
Do we have to leave RCM?
No. Plenty of organisations are well served by RCM, particularly where recruiting volume is steady and tight integration with Employee Central matters most. The move is worth it when recruiter productivity or candidate experience is costing you real hires.
Will recruiting still connect to Employee Central after moving?
Yes. Offer, onboarding, position and org data continue to flow into Employee Central. Because the same practice runs the SuccessFactors side, the integration is designed once rather than negotiated between vendors.
Is SuccessFactors an ATS?
Yes. SuccessFactors Recruiting is SAP’s applicant tracking system, with Recruiting Management for the hiring process and Candidate Engagement for career site and sourcing.
Do you offer SuccessFactors consulting services for recruiting only?
Yes. We work on recruiting alone — a process and configuration review, an RCM optimisation, or a SmartRecruiters implementation — as well as on full SuccessFactors programmes.
